Generate a report and use the archive

Your client just asked you for last quarter’s training compliance numbers, or the board meeting is tomorrow and you need an executive summary — and you don’t want to wait for the next monthly bundle. Generate it now from the report catalog, then download or re-email it later from the archive.

The same surface holds both halves: the Generate tab is the on-demand catalog, the Archive tab is the per-client history of everything that’s ever been produced for this client (on-demand and scheduled). They share the same download / email actions.

Where this lives

Open the client → Compliance → Reports & Evidence. Two tabs at the top — Generate and Archive.

You’ll need

  • The client to be onboarded and have data. A brand-new client with no training started will produce an empty report, not an error.
  • For some reports: a time window (last 30 / 60 / 90 / 180 / 365 days, or a custom range) or a specific course.

How reports are delivered

Whichever path you pick, the rule is the same: reports are emailed to you when ready, not downloaded directly in the browser. Click Generate, you’ll see a “Queued — check your inbox” confirmation, and the finished PDF or Excel lands in your inbox within a few minutes. Same email goes to anyone you’ve added to the report recipients list for this client.

The Archive holds every report after it’s been generated, so you can re-download or re-email without re-running the catalog.

Generate a report

  1. Click the Generate tab if you’re not already on it. The catalog shows every report type, with category chips along the top — All, Overview, Training, Phishing, Security.

  2. Filter by category if you know roughly what you want. Overview covers exec summaries and risk; Training covers completion / performance / status; Phishing covers test results; Security covers Dark Web Monitoring (only visible if that feature is enabled for the client).

  3. Click Generate on the card of the report you want.

  4. For some reports, a parameter modal opens:

    • Time-windowed reports (Phishing Overview, Compliance Report) ask for a preset window — last 30 / 60 / 90 days, last 6 months, last year. The Compliance Report also accepts a custom date range.
    • Course-specific reports (Course Details) ask which assigned course to run against. Only courses currently in this client’s curriculum show up.

    Pick the values and click Generate in the modal.

  5. You get a “Queued — check your inbox” confirmation on the card. The button stays disabled briefly to acknowledge the request — once it re-enables you’re free to queue another.

Find and re-download a past report

  1. Click the Archive tab. It shows the running count next to the label — Archive (47) means 47 reports have been produced for this client.

  2. Narrow the list with the filters at the top:

    • All types dropdown — filter to a specific report type (only types that actually exist in the archive appear).
    • From / To date pickers — narrow to a date window.
    • Clear button shows once a filter is active and resets everything.
  3. Each row shows the report type, generated date, and two actions:

    • Download — opens the file in a new tab. Use this for a one-off pull when you’re in the dashboard.
    • Email — re-sends the report to the recipient list configured for this client. Use this when the original recipients lost the email or you need a new admin on the distribution list to get a copy.
  4. Paginate at the bottom — Previous / Next move 25 rows at a time. Page count is shown alongside.

You’ll know it worked when

  • On-demand generation — the “Queued — check your inbox” toast appears on the card, and the finished report email lands in the inbox of every report recipient within a few minutes. The new entry also shows up in the Archive tab.
  • Archive download — the PDF or Excel opens in a new tab.
  • Archive email re-send — an “Email queued” tag appears next to the row’s actions; recipients receive the report a few minutes later.

Frequently asked

How long does generation take? A few minutes for most reports — the heavier ones (large user counts, long date windows on Compliance) can take longer. There’s no progress indicator; just watch your inbox. If 15 minutes have passed and nothing’s arrived, generate it again — the original request may have hit an error.

Why is Dark Web Monitoring missing from my catalog? Dark Web Monitoring is a paid add-on. The report card is hidden when the feature is off for this client — either at the per-client toggle or at your partner-level master switch. Can I get a report as Excel instead of PDF? Each report has a fixed format — the tag on the card (PDF or Excel) tells you which. Status-oriented reports (Training Status, Overdue Courses, Phishing Performance, Department & Manager Training) are Excel because the partner usually wants to slice the data themselves. Summary / narrative reports are PDF.

How is this different from the scheduled monthly bundle? The monthly bundle (configured in Tailor → Automated Reports) runs automatically on the 1st of every month at 11:00 UTC and emails out whichever reports you’ve enabled. The on-demand catalog here is everything else — board-meeting pulls, ad-hoc audit requests, mid-month spot checks. Both flows write into the same archive.

The recipient list is wrong — can I change it? Recipients are configured in Tailor → Automated Reports for the client, plus any global recipients set at the partner level. Add or remove people there and the next generation (or re-send) uses the updated list. See Scheduled reports for details on how the two lists combine.

Can I generate a report across multiple clients at once? Not from this surface — Reports & Evidence is per-client. For cross-client reporting, your partner-level dashboard rolls up the same data. Custom multi-client reporting is on the roadmap; contact our support team if you have a specific use case driving it.

A report I generated isn’t showing up in the Archive yet. The Archive populates only after the report finishes rendering — same trigger as the email. If the email hasn’t arrived, the row won’t be there either. Refresh the page once the email lands.

Can I delete a report from the Archive? No — the archive is append-only. Generated reports stay there for the life of the client. This is by design: most partners use the archive as an audit trail for what evidence they produced and when.

  • Custom reports — additional scheduled cadences beyond monthly.
