Share a direct link to a policy or course
Your client wants their acceptable use policy pinned to the top of the company intranet, a manager wants to drop “everyone please take this course” into the team chat with a link that just works, or the client would rather write their own training reminder than rely on ours and needs a link that sends each person to their next course. Instead of telling people to sign in and go find it, you hand them a link that opens the right thing. Users who aren’t signed in see the sign-in screen first, then land on what you linked.
You’ll need
Section titled “You’ll need”- The policy already published for the client, or the course already assigned to them.
- Somewhere to put the link: an intranet or SharePoint page, a chat message, an email, an onboarding checklist.
Copy a link
Section titled “Copy a link”-
Open the client and go to Tailor → Share links.

Find the item you want to share. The page lists four kinds of link:
- Learning portal sign-in — the client’s front door, for when you just want people to sign in.
- Next course — one link for everyone. Each person who opens it is taken to whichever course is next for them, the same course their portal home page shows as up next. This is the link to use in a reminder email the client writes themselves.
- Policies — one link per policy the client has, including policies limited to a group or collection.
- Assigned courses — one link per course in the client’s training.

Click Copy next to it. The button reads Copied for a moment to confirm.

Paste the link wherever the client’s people will find it.
You’ll know it worked when
Section titled “You’ll know it worked when”- Opening the link while signed in to the portal takes you straight to the policy or course.
- Opening the next-course link takes you to your own next course. Someone with nothing outstanding lands on their course list, which says they’re all caught up.
- Opening it in a private window shows the portal sign-in screen, and after signing in you land on the policy or course rather than the course list.
- A user who isn’t in the policy’s audience sees a short notice on their Policies page saying the policy isn’t available to them. Their other policies still show.
Frequently asked
Section titled “Frequently asked”We want to send our own reminder emails. Which link goes in them? Use Next course. It’s a single link, so the client can paste it into one email to the whole company and each recipient ends up on the course that’s next for them. Who has what outstanding is worked out when the person opens it, so an email sent on Monday still points at the right course on Friday.
Does the link change who a policy or course is assigned to? No. A link is a shortcut, not an assignment. Who can open a policy is still decided by its audience, and completions are recorded exactly as if the person had opened it from their own list.
Can the link be forwarded to someone who shouldn’t see the document? Forwarding it doesn’t grant access. Everyone has to sign in with their own account, and a signed-in user outside the policy’s audience gets a notice instead of the document. A course link opens only the courses available to that client’s users.
What does a signed-out user experience? They see the normal portal sign-in screen with the same options as always: Microsoft, Google, or an emailed sign-in link. Whichever one they use, they land on the linked policy or course afterwards. If they choose the emailed link, the email we send already points at that destination.
What if the user is brand new and hasn’t done onboarding yet? If you’ve set up onboarding modules for the client, a first-time user completes those first. When they finish, they’re taken on to the policy or course you linked instead of being dropped at the course list.
A policy link shows “not available” for someone who should have it. Check the policy’s audience under Training → Policies. Policies scoped to a group or collection are marked Limited audience on the Share links page. The person needs to be in that group or collection, or the policy needs to be republished to a wider audience.
Do I need a new link when I upload a new version of a policy? No. The link points at the policy, not a specific version, so it keeps working after you update the document.
Can I share a link to a course that isn’t assigned to the client? The Share links page only lists the client’s assigned courses, so assign it first. A link to a course that isn’t in your catalog shows the user a message that it isn’t available for their account.
